The condition for preparing an advance payment in a foreign currency/PLN is indication of an appropriate subsection in the application for a foreign trip in the section “Please arrange the following issues” by the applicant. The applicant has to provide the required information, in particular: 

• preparation of an advance payment in a foreign currency (the following options are available): 
  • collecting foreign currency at a bank branch and providing the following information: name, surname of the person who will collect the advance payment in a foreign currency (including, if applicable, details of a person authorized by the Applicant), his/her ID card number 
  • bank transfer to a foreign currency account and providing the following information: account number (IBAN), swift code, currency, account owner
  • bank transfer to a PLN account and providing the following information: account number, account owner 
• preparation of an advance payment in PLN – transfer to the account and providing the following information: account number, account owner. 

Before preparing an advance payment in a foreign currency/PLN, the Applicant is obliged to provide the International Relations Office with confirmation of a hotel reservation, indicating the cost of accommodation and other benefits included in the price of accommodation (if applicable). If a hotel reservation is not provided, only a hotel lump sum will be paid before departure. Then, settlement of the in fact incurred costs will take place after submitting the bill for accommodation. 

Noteworthy! If you do not indicate in the application for a foreign trip an appropriate item regarding preparation of an advance payment in a foreign currency/PLN along with submitting all the required data, the advance payment for the trip will not be prepared. In such a case, the costs incurred will be settled after returning from the foreign trip.
